The Cash Report Tab
Here you register cash reports. When the transactions are completed, they must be saved. When saving the transactions, the following takes place:
- The transaction will then be transferred to the section Booked in cash report.
- A ledger will be created in the general ledger.
- The Cash receipt tab will be activated and you can print the receipt. After the printout, the Cash report tab opens again and you can register a new transaction.
Cashbook
Select which cashbook you want to use. Description, Cash receipt, and Currency are shown for the cashbook.
Cash Report
The system automatically suggests the last used report number but you can always select an older report. When creating a new report you can use the button New record or only purge the window in the Windows functions. Enter start and end date. Please note! The dates must be within the accounting year.
Register Cash Payment
In this section you will see different fields depending on the type of transaction.
Position - Here you will the transaction's position in the report. A new payment will automatically be given the next consecutive number. You can edit older positions by entering the position number in question.
Date - Here you select payment date. The coding will take place on this date. The date must be within the cash report's start and end date.
Direction - Here you select if it concerns deposit or withdrawal.
Number - Here you will see the transaction number with prefix (KP or KW), if any. This number is automatically set and cannot be changed.
Counterparty - Here you select counterpart for the transaction. It can be both internal and external counterparts. You can select:
- Customer (external)
- Supplier (external)
- Employee (internal)
- Reference (internal)
- Miscellaneous (internal)
Code - Here you enter/select code for the counterpart. The code differs depending on the counterpart. For external counterparts, it is customer code or supplier code. For internal counterparts it is the employee number from the Update Employee procedure or reference code from the Company Info procedure. For the counterpart Miscellaneous, there is no code.
Name - Here you will see the name. Depending on the counterpart you will see the customer name, supplier name, or the name of the employee. You can edit the name. The name is used as ledger text in the general ledger.
Invoice Number/Consecutive Number - This field is used for external transactions. This number is used as specification for this cash transaction (but it has no other link to the accounts receivable ledger and accounts payable ledger).
Amount - Here you enter the paid amount. You should not enter a negative amount. The amount is entered in the currency linked to the cashbook.
Specification - Here you enter a specification text. This text will be saved as a specification on the transaction in the general ledger. For external transactions, this will be loaded from the invoice number/consecutive number.
Offset account - This is the offset account to the cash account. You can also enter cost center, cost unit, and project. The default account number is used from standard accounts, depending on the type of counterpart:
- Employee - Standard account for employee/reference
- Reference - Standard account for employee/reference
- Customer - Standard account for accounts receivable ledger (considering any exception accounts for accounts receivables for the customer)
- Supplier - Standard account for accounts payable ledger (considering any exception accounts for accounts payable for this supplier)
The default cost center/cost unit is loaded from the setting Reference/employee no. is set as.
Exchange rate - This field is available if the cashbook is in foreign currency. The current exchange rate for the entered date is loaded from the currency log. The exchange rate is used to convert the coding into the system currency.
Created by - This is an information field that shows who created the record and when.
Modified by - This is an information field that shows who last modified the record and when.
Total
For cashbooks in system currency, the debit and credit amounts are totaled up.
For cashbooks in foreign currency, the debit and credit amounts are totaled up in the foreign currency.
Balance Brought Forward
For cashbooks in system currency, the account's balance brought forward at the cash report's start date is displayed.
For cashbooks in foreign currency, the account's balance quantity at the cash report's start date is displayed.
Balance Carried Forward
For cashbooks in system currency, the account's balance carried forward at the cash report's end date is displayed.
For cashbooks in foreign currency, the account's balance quantity at the cash report's end date is displayed.
