The Activities Tab
Under the Activities tab there is a table that can be used to edit, add or delete activities for a new nonconformity item.
When you hold your mouse pointer over the actual name of the Activities tab you will see if there are any activities, e-mails, and notes. If there are existing activities and e-mail messages you will also see how many. The information is shown in the following order: (Activities:E-mail) and {#]. Where # means that there are existing notes.
The purpose of registering activities that will be carried out for nonconformities is to create activity orders and supervision. You can enter both short-term and long-term activities here. You cannot delete mandatory (required) activities. This means that they are locked, and must be carried out for this nonconformity.
You can enter default activities for each nonconformity type. The different activities can describe either a predetermined or default work flow or procedure to follow for a new nonconformity. Read more about this in the Help Function for the Register Basic Data procedure.
To facilitate the activity management you can insert a template with default activities. This can be useful if a specific customer should follow a certain method and/or use specific documents during the nonconformity management. You create templates in the Activities procedure.
The information is divided into groups under the following headings:
- Number
- Text
- Planned Date
- Responsible
- Comment
- Show Linked Documents
- Reported Date
- Performed by
- Status
- Initial Date
- Reminder
- The Translate Activity... Button
- The Translate All Activities... Button
- Language
In the Activity Reporting procedure, you can update the status, comments, responsible person and reported date for several activities in a list.
Under the heading E-mail log you can log your e-mail correspondence regarding the nonconformity in a table by using drag and drop. You can open an e-mail message by double-clicking on it or by clicking on the button Open in the table. By using the button New e-mail you can create a new e-mail message.
Under the heading Activities/contacts log you will find a text log, a simple form of word processor that is used to enter information regarding activities, events and other notes concerning the nonconformity. These may concern planned activities as well as already finished activities. Besides notes, you can also insert hyperlinks to websites, e-mail messages and files. To make it easier to create notes in the text log you can use the button called Insert note.
"Drag and drop" means that a selected e-mail message is dragged from for example the inbasket in the e-mail program and is dropped in MONITOR. Here the Drag and drop function of e-mail messages works in two different ways: Drag and drop of e-mail messages to the table E-mail log, adds the message to just that table. Drag and drop of e-mail messages to the text log under Activities/contacts log, creates a hyperlink in the text log and the e-mail message is just added to the E-mail log. Please note that the drag and drop only applies when using the 32-bit version of Outlook.
