Recording terminal
In this procedure you can record attendance and work, as well as carry out server printouts* of order documents and transport labels.
It is broadly the same as the Recording terminal in the Windows client.
Basic mode is shown when you start the procedure. In basic mode, enter a person’s employee number in a field. When machine recording, enter a machine’s employee number.
If the person cannot clock in at the terminal (this is configured in Terminal access in Personnel records – Time recording in the Windows client) a red border appears around the field, with text explaining that the person is not permitted to use this recording terminal.
If the person has a Card number (this is also configured in the Personnel records) – you must enter your card number or code in the field. In this case, an asterisk appears for each character you enter. You will then enter recording mode.
If the user you logged in as has an employee number for a person linked to the Users procedure in the Windows client, you’ll be directed to the recording mode instead (see below).
You can return to basic mode from recording mode by tapping the cross to the right of the name at the top of the page. This is useful if you don’t want to leave the recording terminal in recording mode.
In basic mode, the dashboard appearing on the home page of the mobile client is shown, provided the user logged in uses a dashboard. You can read more about dashboards in the Functions section.
In recording mode, you can see the name relating to the employee number and the current time on the Monitor server. By using the
button to the right of the name, you can open the chat function called Monitor chat and see a list of all your chats. You can then choose to start a new conversation or to reply in a chat you are already taking part in. To be able to start new chats, the user you logged in as needs to have an employee number linked to the Personnel records – General procedure and must also have the setting called Permission to start new chat activated in the same procedure. If you have received a new chat message, a red symbol with an exclamation mark is displayed
on the button to alert you.

Under the name, hyperlinks are show with the balances of your time banks, in accordance with your parameter group. Click on a balance with a hyperlink to open the Time bank log, where you can see the relevant time bank log and enter the number of days back in time for which the time bank log will be shown.
If you have not clocked in, the In
button is shown. If you have clocked in, the Start work
and/or Stop work
buttons are shown, along with Out
and Out – Absence
.
There is a section for work in progress and a section for the latest recordings. Where appropriate, there is a section for changing schedule.
In the Work in progress section, you can partial report, end setup and release standby work. Read more about this below.
In the Last recordings section you can view time balances for attendance, absence, flex time, and overtime. A log containing your most recent recording items is also shown here.
The Change schedule section is included in case the person has Available schedules at schedule change configured in the Personnel records – Time recording procedure in the Windows client. In this section, you can change schedule before the day’s first attendance recording.
In the section Planned absence, you can select absence codes and whether the absence should apply for only a part of the day. A new interval of days can be added by clicking the Add button. This field Absence code is mandatory. If the absence does not apply for an entire day, you check the Part of day checkbox. You can then enter when the absence starts and ends for the day. Click Save to confirm your choices.
Attendance recording is described in this section.
If you forgot to clock out when leaving the workplace and open the recording terminal the next day, a box for automatic clock out will appear. The management of when a user forgets to clock out is determined by the system setting Handling when user forgets to clock out in the Windows client. You can read more here.
If you have been absent, after you clock in a box appears where you can end absence by selecting an absence code for the days you have been absent and then clicking Save. You can also choose the same absence code for all the days you have been absent. Choose an absence code above the list with dates and click the Enter button. The work days that do not have an absence code will then be filled out with the absence code you selected. Confirm your choice by clicking the Save button.
Tap Out – Absence
to clock out and leave the workplace during working hours, or when you leave the workplace for the day and intend to be absent the following working day.
Select a cause of absence as appropriate by tapping the row with the reason. You will then be clocked out with this cause of absence.
If the Activate site recording setting is checked in the Windows client, you’ll also record the site in the mobile client every time you clock in or clock out on a break. The site refers to the physical location where you clock in. Sites are registered in the Basic data – Attendance procedure in the Windows client. Sites are used in order to, in the attendance list and evacuation list, show where all staff who are clocked in and all staff who are clocked out on a break are currently located – that is, within the building or elsewhere. Clocked out personnel can enter a site to indicate that they are still in the building. Site recording can also be used when working remotely, when employees are working from home or from another site.
If the person has a default site – or if the recording terminal has a default site – you’ll be clocked in at that site when clocking with the following buttons: In, In – Overtime, Out – Break and In after break. The text for the default site is shown on the buttons. When clocking in with overtime there are two steps: choosing the overtime type and then choosing the site.
If there is no default site for the person – or for the recording terminal – you’ll be clocked in at the last selected site when next clocking in or clocking out on a break.
The recording buttons also show the following symbol
in the top right corner when site recording is activated.
If you don’t want to clock in or out at the suggested site, long-press the button until it’s filled with the darker color shown around the symbol, and then release. You’ll then come to a page where you can tap the site you want for the relevant recording, and write a comment. Tap the Save button on the page and you’ll be clocked in or out, with basic mode shown.
Using the blue button
, you can change site at any time when clocked in, clocked out on a break, or clocked out. For example, you may want to change site when running an errand in town during your lunch break. This is also useful if you want to choose a site when you are clocked out but remain in the building. For example, if you visit the company gym after your working day. When you use this button you’ll remain on the evacuation list, even though you are clocked out. Please note that you if you choose a site and are clocked out, you’ll remain at this site until you clock in or change sites again.
At the top of the recording terminal, beside where the server time is shown, you’ll see the site where you were last clocked in. If you clock out, the last site where you were clocked in is removed.
Work recording is described in this section.
Tap Start work
in the recording mode to enter the start work mode.
To start order-bound work, enter the Direct work tab. If you have the Only change setting in the personnel records, you can select a direct work item to start by checking the item. If you have the Start/Stop at will work method you can select multiple work items to start.
Above the work items in the list, there is a Filter which you can expand to filter work items for different alternatives.
Work assigned to you is shown at the top of the list, with an orange border to the left of the row as well as the text, Assigned on the work item.
If you select a work item, the background will turn light blue and a blue triangle will appear in the top left corner

Work items in a reporting batch are highlighted in the right-hand border of the row. If you select one of the work items in a reporting batch, all of the items in the batch are automatically selected for inclusion. If there are multiple reporting batches, they are shown in different colors in the right-hand border.
If you select a work item, a print button
is shown to the right of the item, which is used to print order documents and transport labels related to the work. Printouts from the mobile client are carried out as server printouts*.
The
button on a work item opens a preview page for related order documents, transport labels and files linked to the work. At the top of the preview page you can select the document and use the buttons to browse between documents. In the top right of the preview page there is a button
for presentation mode, which shows the document in the full screen. Tap the print button
on the preview page to print out the relevant document. The
button on the preview page opens a toolbar, where you can rotate the document, among other things.
Tap
on the work item for a page where you can see more information about the item. You can also see which part it is as well as the order number, remaining time, work center, report number, planned start, and planned finish. The Document button on the page performs the same function as the
button. You can view and print related order documents, transport labels and files linked to the work.
To start unit time for work, tap Start at the bottom of the page.
For order-bound work, the Start setup button is also shown at the foot of the page. This is used when you want to firstly start setup work and register setup time.
Tap Change work center to change the work center of the operation before you start the work. You can choose from the allowed work centers in the personnel records. This button is visible if the system setting Allow work center replanning for operation is set to Yes.
To start non order-bound work, select the Indirect work tab. Here you can choose indirect work to start, by selecting the work item. The work item can then be started by tapping Start, at the bottom of the page.
To start a project activity, select the Project Activity tab. Here you can see the activities that have been assigned. You choose an activity to start by selecting the activity and tapping the Start activity button at the foot of the page. You can also search for project activities in different projects by entering the project in the Start project activity field and choosing one of the activities in the project. Activities that you cannot start, for whatever reason, are marked in red in the left-hand border.
If you are using Only change, you will then come to the Stop work mode (shifting from the work item) in order to report and finish. When you have finished the work, you’ll return to recording mode.
If you have the Start/Stop at will work method, you’ll instead come straight back to recording mode once you have started the work item.
Tap Work in progress, in recording mode, to come to the page with work in progress. On this page you’ll find brief information on each work item in progress.
Setup work is denoted by an orange color in the left-hand border of the row, while Setup time appears on the work item.
To the right, there are three buttons for each work item (does not apply to indirect work).
The
button opens a preview page where you can see the document Transport label, manufacturing, prior to reporting which you can also print. Otherwise, it is the same preview page as for Start work mode.
The
button shows complete information about the work item, and you can also show and print documents (transport labels) for the work.
The
button generates a case of the type Internal nonconformity, linked to the work item, with most of the data pre-filled.
To partial report, tap a work item in progress to select it. Then tap Partial report at the foot of the page. The work item is opened, and has the same functions as in the Stop work mode, below. However, you cannot place work on standby when partially reporting.
If a machine is clocked in on the work item and the system setting for the signing employee at machine recording is activated, an employee number for the operator must be entered before the work can be partial reported.
Having entered the data you wish to partially report, execute by tapping Report at the bottom of the page. You will then return to recording mode.
With the Material reporting button you can also report only withdrawal of material for the work in progress. You’ll then come to a page where, in the Left to report tab, you can enter a Simulated operation quantity in order to find out what a reported quantity on the operation generates in quantity of material to report. You can also directly enter a Quantity to report for the material (the default value is 0). When you leave the field with a value entered (other than zero), you’ll come to the Reported tab, and can execute the material reporting by tapping Report material at the bottom of the page.
If the work center is configured in order for a transport label to be printed when selecting Stop work in the Recording terminal, this will also apply when partially reporting work. You will then come to a page where you can choose to print the transport label. You will then return to the recording mode.
If you have a setup work item (setup time) in progress, the End setup button is shown when you have selected the work item in progress in recording mode. When you tap this button, a dialog box appears explaining that the setup time will end, and that subsequent time will be reported as unit time. To confirm, tap OK in the dialog box in order to finish the setup work. The item then becomes direct work in progress.
Tap Stop work
, in recording mode, to enter the stop work mode.
If you have only started one work item (or a batch), you’ll come straight to the reporting page where you stop the work.
If, however, you’ve started multiple work items, you’ll firstly come to the page with work in progress. On this page you’ll find brief information on each work item in progress. On the right, there are three buttons for each work item.
The
opens a preview page where you can see related documents, transport labels and linked files that you can print. This is the same preview page as for Start work mode.
The
button shows complete information about the work item, and you can also show and print documents related to it.

button generates a case of the type Internal nonconformity, linked to the work item, with most of the data pre-filled.
To end one or more work items, tap them in order to select. Then tap the Continue button at the foot of the page to come to the reporting page.
If a machine is clocked in on the work item and the system setting for the signing employee at machine recording is activated, an employee number for the operator must be entered before the work can be reported as finished.
For direct work, enter the reported quantity in the Reported quantity field.
If the remaining quantity is to be deleted, check Delete remain.
You can tap Standby in order to place the work on standby when you finish it. Work on standby is shown among Work in progress in recording mode, and in the Start work mode, through an orange border on the left of the row and the text, Standby in the work item.
When reporting the first operation or a subsequent operation, you must enter a Goods location.
The Cause code field is activated when the remaining quantity for the work is zero, and the reported total time differs more (in percent) from the planned time for the reported quantity than the percentage entered in the system settings Mandatory cause code if time used exceeds planned time (in %) and Mandatory cause code if time used is less than planned time (in %) in the Windows client. In such cases, you must select a cause code. You can select among the active cause codes for time loss and time gain that are registered under the Time used tab in the Cause codes procedure in the Windows client. In that procedure you also enter if a comment is mandatory for the cause code.
You can always write a Comment for a reporting. Comments can be mandatory to enter if you have to enter a cause code, as specified above. In the case of indirect work you are finishing, you can only write a comment.
When reporting the final operation, tap Locations to bring up a dialog where you can select the location and enter the quantity to be reported for arrival in the Quantity field. In the dialog, you can also add a new location.
If the part is traceable at Serial number level, you can tap Locations to add the serial number for the quantity for which arrival is reported. This is done with the Add serial number button. You can then choose Serial number from. Batch number is entered by default, but this can be changed. You can also enter a Charge number.
If the part is traceable at Batch level, under Locations, you can enter the location and the quantity reported for arrival. Batch number is entered by default, but this can be changed.
Tap Rejections to add rejections if necessary.
The Automatic withdrawal of material setting is shown if you are permitted to report material. This is configured in the personnel records in the Windows client. With this setting selected, the material will be reported automatically (withdrawn). However, this does not apply to traceable material. If you uncheck the setting, under the Material button you can change the quantity to report. If you do not have permission to see material rows, the setting and the Material button will not be shown.
Under the Material button, you can also select the location at which to report the material withdrawal. The page for material, under the button, contains three sections. Left to report, which shows the material that is left to report. Reported, which shows the material that has been reported. Added, that shows material that has been added with the Add material button at the bottom of the page. The sections show the number of rows (in brackets).
To register work as finished, tap Report at the bottom of the Report page.
If you use the Only change work method, you will then come to the Start work mode (shifting to the work item). When you have started the work you will return to recording mode.
If you have the Start/Stop at will work method, you will instead come straight back to recording mode when you have finished the work item.
If the work center is configured in order for a transport label to be printed when selecting Stop work in the Recording terminal, you’ll come to a page where you can choose to print the transport label. You will then return to the recording mode.
Select the standby work item and tap Release standby, at the bottom of the page, in order to release the work and ensure it is accessible for other operators to start. The item will then be removed from work in progress in recording mode.
When you tap the button, a notification appears. Tap OK to confirm and release the work on standby.
* In order to print out from the mobile client, a specific server printer must be configured in the Server printers procedure in the Windows client. In the Users procedure, in the client, the server printer must be linked to the documents that the user of the mobile client wishes to print out.
