The Selection Tab

Under the ClosedSelection tab you will see a selection list with the parts that of different reasons (as described under the Create tab) shall be inventoried. In the Selection tab you select which parts that will be included in the physical inventory list.

The Selection tab in the Continuous Physical Inventory - List procedure.

In order to support the analysis each part's suitability for inventory is rated. The suitability is rated from 1 to 4, where suitability 1 is most suitable and suitability 4 is the least suitable to perform physical inventory for at the present. The suitability is based on whether or not the part has got any planned transactions or picking in the near future which will affect the part balance in the stock.

Description of the criteria in the Suitability 1-4:

  1. There are no planned transactions at all for the part, compare with the order window. Also requested pickings shall be counted as planned transactions (to be performed today).
  2. There are planned transactions for the part, more than 5 days away.
  3. There are planned transactions for the part, within the next 5 days.
  4. The part has been cleared on an order (regardless of when) or has planned pickings. This means that transactions will be made in the near future.

The parts are also sorted within the suitability rating, in the following order:

  1. The number of locations, where fewer locations are considered easier to inventory.
  2. Balance, where parts with the lowest balance are considered easier to inventory.

For the parts with suitability rating 3-4 a small button is displayed where you can see which transactions that are planned in the near future.

By right-clicking you access the Info menu where there are two functions that are useful in the selection list. Those are Select parts above and Requirement calculation.

A check box to the far left indicates whether the part is to be inventoried.

You can then print a physical inventory list for the checked parts from the Selection tab. The physical inventory list is then given a physical inventory number which identifies the made part selection. The physical inventory number is used in the Continuous Physical Inventory - List Reporting procedure and for example when reprinting a physical inventory list. The physical inventory number is saved as an order number in the inventory log. This can be used in order to see from where the physical inventory originates.
