General Information about Print Customer Order

What Does This Procedure Do?

You can print customer orders using this procedure. The form types that can be printed are order confirmations and delivery notes. You create customer orders in the Register Customer Order procedure. When you are registering customer orders, you can also preview and print out the orders. You can print it on a preprinted form or on a blank paper.

In the Form Settings procedure in the Global Settings module, you can determine how you want the printouts to be handled. For example, you can decide how many copies of the document that should be printed each time by default. You can also select the number of copies you want to print. You can print order confirmations and/or delivery notes at any time.

Managing the Window

The Search Form in this procedure consists of two portions. In the left portion of the window, you can select the printout by entering an interval of order numbers, customer codes or delivery period and print directly. If you leave these fields empty, the system will print all orders. Here you also select which type of form you want to print, the printout date and the number of copies you want to print. In the right portion of the window, you can deselect (uncheck) individual orders that you do not want to print, or select individual orders to be printed, depending on which method you choose. When the right portion of the window is activated, you can also click on Preview to preview the printout.

For all four methods, a form check is performed after printout. The orders that have been printed will appear in the right portion of the window, and you can now approve all or just some of the printouts. This means that the printouts can be reset or restarted, in case you have a paper jam in your printer etc. When you approve a printout, the system will set status 2 (Printed) on the order.

Customer Order Status

An order always has a particular "status", depending at what stage the order is in the system. Once the order is registered it is given status 1. When the order confirmation is printed and approved, it is given Status 2. The following order status options exist for customer orders:

The status of an order determines if and how it can be printed here. In the Search Form you can choose to print order confirmation, delivery note or both. You can also choose Fax, which will print an order confirmation on a special fax form that will be sent with a fax program.

If you choose to print an order confirmation for several orders, then only orders with Status 1 will be printed.

If you choose to print a delivery note for several orders, then only orders with Status 1-3 will be printed.

If you choose to print both order confirmations and delivery notes for several orders, then only orders with Status 1-3 will be printed.

There is an exception when selecting by Order number, and that is to only enter one order number in the fields. That will allow you to print the forms for orders with Status 1-5.

There is another exception when printing delivery notes, and that is when you select by Delivery period. (Delivery period is a selection term at the order row level for the order rows delivery period). When you select this way, the system will print all the order rows that have not yet been printed within the interval you selected, except for orders with status 9. You can then deselect the "Only not yet printed" setting. In that case, all the order rows within the interval that you selected will be printed, except for orders with order status 9.

You can also print orders with status 9 if you check the option Reprint historical orders. This allows you to load an historical order and reprint an order confirmation or delivery note.
