General Information about Scan Supplier Invoice

This procedure is included in the supplement Electronic Invoice Management (EIM).

What Does This Procedure Do?

Paper invoices are loaded under the Scan tab after which they are placed in an inbasket as image files. Under this tab, you configure and prepare the scanning.

You must have a scanner with sheet feeder or a flatbed scanner locally installed on your computer. When you scan from this procedure, the files are saved in TIF format.

The inbasket is a folder on the computer or the server's hard drive. File path to default inbasket and up to two alternative inbaskets can be configured under the Electronic invoice management heading under the Purchase tab in the Settings procedure in the Global Settings module.

When loading, an automatic compression of the invoice file takes place to save disc space. After that, the Register Supplier Invoice procedure opens for preliminary registration of the invoices.

Under the Show scanned tab, you can preview the scanned invoices in your inbasket. You can also add other scanned document types to an invoice under this tab, such as delivery notes, purchase orders, travel claims etc. The document types for these must first be defined in the Document Types procedure in the Global Settings module.

Window Functions

Navigation buttons are used under the Show scanned tab to scroll between the scanned invoices and other documents in the inbasket.

Send via e-mail is used under the Show scanned tab to send an invoice via e-mail. You can select the e-mail address, to which you want to send the invoice, in the supplier register and user register.
