Planning

Here you plan a service order.

Service Type

You select service type in a drop-down menu. The available service types are registered in the Register Basic Data - Project procedure. There are a few basic types which determine some of the functionality and these are Installation, Warranty, Planned service and Urgent service. For the service type you can enter service location, priority and rules regarding invoicing. The default value when registering a new service order is determined by the service type set as default in the basic data procedure.

The service type also determines which order rows that will be added automatically. This is done either when saving or when you select the Rows tab for the first time after selecting a service type. A question then appears asking if order rows should be created based on default cost rows (the ones under the Costs section under the Service tab). If you change service type on an order, a question appears asking if existing order rows should be left unchanged. If you say No, another question appears asking if you want to replace all order rows. If you say Yes to this question, all order rows will automatically be replaced with this service type's order rows. If you say No to this question, only the pricing will be updated on the rows.

Service Location

The suggested service location is determined by the selected service type, but can be changed manually. The available service locations are At customer and In-factory.

When you select In-factory it is appropriate to enter instructions to the customer such as where and when the service object should be sent. This is made under the button called External comment. External comments will by default be printed on the forms service quote, service order and service report. However, this can be determined by the form setting Show external comment/description

Time Used

Here you enter the planned time used in hours. You can also change the time used under the button Available service technicians.

Planned Start Date

Here you enter the planned start date for the service. This date can be changed under the button Available service technicians.

Finish Date

Based on the Start date and Time used a Finish date is suggested. This calculation also considers the employed service technician's calendar.

Start Time

Here you enter the time (hour and minute) when the service will start. You can change the start time used under the button Available service technicians.

Finish Time

The finish time is calculated as Start time + Time used. This calculation also considers the employed service technician's calendar.

The Available Service Technicians Button

By using this button you open the Recourse Planning window. In this window you select service technician and you will also see a week view calendar for each service technician.

Service Technician

Here you can see the name of the selected service technician. If several technicians have been selected, the text in the field is shown in grey and a so-called tooltip appears. You will also see the number of selected technicians on the button mentioned above.

Priority

This is determined by the selected service type but it can be changed. Allowed values in this field is 1-9 (this field cannot be empty). The priority is used when selecting and sorting lists.

Service Category

Service category works in the corresponding way as for example the Part category. You can also use the service category as a search term.

Status

Shows the order status found under the Main tab.

Goods Location

When the service location is In-factory and the order status is Received, a goods location may have been entered in connection with the arrival reporting. In this field you will then see where the goods have been placed.

The Internal Comment Button

Here you can enter an internal comment regarding the service. The comment will not be printed on any forms. If you have installed the supplement called Document Viewing, you can use the button to link documents to the internal comment.

The External Comment Button

Here you can enter an external comment regarding the service. The comment will be printed on the forms. If you have installed the supplement called Document Viewing, you can use the button to link documents to the external comment. Documents linked to external comments can be printed automatically when printing the forms.
