General Information about Register Basic Data - Service

This procedure is a part of the supplement Service Management.

Why Use This Procedure?

Before using the Service Management features in the system, you must first update certain basic data in this procedure. Information registered here is required to, for example, register service orders in the Register Service Order procedure. The window consists of five different tabs where the first tab is used to define default values per service type and the other tabs to update registers for Activities, Service technicians, Costs and Service types.

Default Values per Service Type

Under the Default values tab you can register default basic data for the different service types. The system is delivered with four service types: Installation, Warranty, Planned service and Urgent service. These are based on four different basic types with the same name. Under the Service types tab you can also register own service types based on one of the four basic types.

The basic data for service types is a sort of "preparation" of the service type containing activities, the person responsible for the service type, and the person responsible for reporting activities, as well as different costs. This basic data is then loaded by default for each of the respective service types, each time you register a new service order.

You can configure activities and costs as mandatory, which means that they must be carried out or applied to a service and cannot be deleted. The different activities describe either a predetermined or default work flow or procedure to follow for each service type. The costs can describe either predetermined or default costs that must be charged to a service type. Here you also determine the pricing, that is, how these costs will be charged to the customer.

You can also enter comments for each service type, as a sort of internal note or annotation.

Activities, Service Technicians and Costs

Under the Activities, Service technicians and Costs tabs you can register an optional number of activities, service technicians and costs in separate tables, that will be loaded when you register them per service type. These activities, service technicians and costs will also be loaded when being registered directly on a service order. The most common or frequent activities, service technicians and costs that apply to services should be entered in these tables. The activities are configured by language.

Please note that also external suppliers can be registered as service technicians.
