General Information about Confirmation LB/FB

What Does This Procedure Do?

This procedure is used when payment orders for supplier invoices have been received from the Bank giro or Plus Giro systems. This type of confirmation is only received for invoices that have been paid electronically using payment files via the payment methods LB, FB, LBI, FBI, AG (Autogiro) and ISO. The transaction list and payment file are created in the Transaction List procedure.

Under the Manually tab, you can manually perform confirmations based on the payment orders for supplier invoices that you have received from the Bank giro or Postal giro.

Under the From file tab, you can perform confirmations based on the confirmation files for supplier invoices that you have received from the Bank giro or Postal giro.

The confirmation must be performed in order to update supplier invoices as "paid" in the system. This confirmation reporting is performed while checking off the invoices that have been paid in an invoice list. In order to speed up confirmation reporting, you can load all the invoices with a particular payment date, and then check (select) all the loaded invoices as "Paid" by just clicking one button.

The system will automatically perform the correct coding of outgoing payments during confirmation reporting. This is also done for international payments, where you might create currency or exchange rate gains or losses. You may print out the accounting records that are updated during confirmation using the Print Outgoing Payment Ledger / Accounting Orders procedure.

The confirmation is performed in separate lists for all payments such as LB, FB, LBI, FBI and Autogiro (AG). During confirmation reporting, the payment date and paid amount is filled in automatically for each invoice, but can be change in case a payment is made on another date than the invoice's original due date.

Please Note! The reported (confirmed) payment date determines which date the invoice is checked as paid in the accounts payable ledger.

Please note. If needed, you can turn off the confirmation of invoices in the system. In this case, no confirmation will take place, and the system will automatically update the invoices as paid on their due dates. This is determined by the setting Confirmation LB/FB? under the section Accounts Payable under the Purchase tab in the Settings procedure. If you do not use confirmation, the system will not update any accounting records. You must then manually record the payments in a manual accounting order in the Accounting.

You must always perform confirmation on international payments, meaning the invoices paid using the payment methods LBI and FBI. This must be done regardless of whether you have configured the abovementioned parameter or not. The same applies for confirmation of invoices paid using Autogiro. For international payments, you must enter the payment date and amount, as well as the exchange rate for the payment. You can also enter any applicable bank charge.

Under the tab From file, you can confirm via file by using the Norwegian Telepay format. The confirmation can be made both for domestic and international payments.

Under the section Accounts Payable under the Purchase tab in the Settings procedure, you can configure whether or not you want to print confirmed payments during the confirmation reporting.

When you manually perform confirmations of invoices, the payments can be saved to the next available batch number. The batch number is a consecutive number that is counted up for each payment "batch" that is registered. Each batch is the same as one day's summary of payments received from the Bank giro / PlusGiro. During integration into the accounting, a separate voucher is automatically created for each batch number. The batch number field is only active if you have entered a start code in the Number Series procedure in the Global Settings.

Integration

When the payments have been registered (and saved), the accounts payable ledger is updated. You print the ledger or accounting orders for these payments using the Print Outgoing Payment Ledger / Accounting Orders procedure. Under the section Accounts Payable under the Purchase tab in the Settings procedure, you can configure a setting regarding automatic printout of ledgers/accounting orders when saving the payment.

Under Integration under the Accounting tab in the Settings procedure, you will find four alternatives for the settings regarding integration between the ledgers and the accounting.
