General Information about Receiving Inspection Reporting

Why Use This Procedure?

This procedure is used to perform receiving inspections on arrived goods. The premises needed to report receiving inspections on arrived goods are:

  1. There must be a registered purchase order for the goods.
  2. Receiving inspection must be configured for the part or order.
  3. Arrival reporting has been made for all or parts of the goods.

You can also perform receiving inspection when needed. During arrival reporting, it is then marked that the goods need to be inspected. To be able to do this, you have to active the setting Possibility to activate receiving inspection on order row during arrival reporting under Orders / Inquiries under the Purchase tab in the Settings procedure.

In the Order number field in the heading row, you select the requested order, and then, under the Rows tab, you enter the quantity that was approved and, if applicable, the quantity that was rejected. If some of the parts have been rejected, you also enter the reject code. Under the Main tab you will find information about the selected order.

This reporting will update the current stock balance with the quantity entered as "Approved". The supplier rating basis with regard to rejected or faulty goods can later be loaded to the Supplier Rating procedure.

Nonconformity Management

The nonconformity management can be simplified when reporting rejects during the receiving inspection. If you have activated the setting Register nonconformities via Receiving Inspection Reporting/Posterior Rejection? under the Posterior Rejection heading under the Purchase tab in the Settings procedure, you can select to register a supplier nonconformity (or your own predefined nonconformity type), or you can select that no nonconformity shall be registered. If you have chosen to register nonconformities and you save the receiving inspection with a rejected quantity, a new nonconformity is automatically registered in the Register Nonconformity procedure. It then contains all necessary information from the Receiving Inspection Reporting already entered.

Multiple Stock Locations

A part can have several stock locations. If you use multiple locations, you will see a separate window here for orders containing parts with multiple stock locations. If so, you can perform reporting per stock location. The multiple stock location window can also be found in the Approved quantity field. During reporting, you can also add or change the location names.

Multiple stock locations are activated with the setting Use multiple locations? under the Locations heading under the Inventory tab in the Settings procedure. Read more about multiple stock locations in that Help chapter.

If you have previously used multiple locations and then deactivated this setting in the Settings procedure, this window will still appear for all parts that still have multiple locations.

Message during Receiving Inspection Reporting

A message can be shown during receiving inspection if the purchase is linked to a requirement (Lot-for-Lot) or if you have activated the setting Message on P-order row to goods receiver in arrival reporting/receiving inspec. under the Orders / Inquiries heading under the Purchase tab in the Settings procedure. You can enter the message in the Register Purchase Order, Material Clearance and Part Info procedures. The message will then be shown when you save the reporting here during receiving inspection reporting. You can open the message by clicking on the button to the right of the order number. You can also print the message, if needed.

Print Transport Labels

If you have configured the setting Print transport label after arrival reporting? under the Orders / Inquiries heading under the Purchase tab in the Settings procedure, you can print transport labels from here, either directly or via the Transport label tab after executing the reporting. The message on a P-order row to the goods receiver in the Arrival Reporting can also be printed on the transport label. To be able to do this, you must also activate the settings Show causing requirement and Show message in the Form Settings procedure.
