Information on Order Rows

Below you will find a description of the order information provided on the order rows. This information is received via the EDI message (ORDERS) for a customer order. The fields at the end of the order rows that are not documented below, are not used.

In order to emphasize or highlight when an imported order row has data deviating from the equivalent information in MONITOR, or if it contains actual errors so that it cannot be approved, then these fields are highlighted in either yellow or red. The Part number field appears in yellow if the order row contains a problem or error. Other fields are shown in red if the information deviates.

An order row with problems or errors cannot be approved as an actual order row. This is shown by having the OK check box inactive (greyed out) and not checked. You can also check the order row, read more about this under Test schedule.

Even if some fields appear in red, the red imported fields still apply. They are entered into the order, the right highlight is just a visual warning. The only exception is "price each", where the part price in MONITOR is used instead if the imported price is zero.

In the Import EDI Orders procedure a message appears for parts for which you have configured the setting Block/notify in the Update Part procedure.

Order Number

Here you can see the order number created in the system for the imported order rows once they have been saved. A locked order number appears in red. You can reset this by right-clicking, if the order is released by the person holding the order.

Customer Code

Here you can see our customer code for the customer’s delivery address.

Part number

This field shows our part number for this order row. The entire Part number field appears in yellow if the order row contains a problem or error. This is usually due to a part or customer that has not yet been defined in the system.

New Period

Here you can enter another delivery period than the one you received. The New period appears in red if the lead time for the part (according to the definition in MONITOR) is not sufficient or if the period is in past time.

New Quantity

Here you can enter another ordered quantity than the one you received.

OK

Here you can deselect the rows that you do not want to convert into actual orders in the system. All correct order rows are selected by default in this column. If the row contains a problem, then the OK column is blocked and you cannot check this box.

S

Here you can enter another order status than the one received.

Unit

Here you can see the unit used for the quantity on the order row.

Name

This field shows our part name for this part.

Each

Here you can enter another sales price than the one received. The price "each" appears in red if the price each received differs from Our price on the order row.

Reference Number

This is an order number for the row that some customers send in order to identify the order row. The reference number will appear in red if it is already present in an existing order.

Customer's Revision

Here you can enter another customer revision than the one received. The customer’s revision appears in red if it differs from our revision on the part.

Customer's Setup Cost

Here you can enter another setup cost for the customer than the one received. If you have configured the system setting Show part’s setup price on customer orders/quotes? under Orders / Quotes under the Sales tab in the Settings procedure, the system will generate a setup price row for the order containing the setup cost / setup price received or entered here.

Customer's Part Number

This field shows the customer's part number.

Our Price

This field shows our sales price for this part.

Our Revision

Here you can see our own revision in comparison to the customer’s revision.

Our Setup Cost

This field shows our setup cost for this part.

Manufacturing Order Number

Here you can see the manufacturing order that was created after a received order message was saved and converted into a customer order. Whether a manufacturing order will be created or not is governed by the system setting Create manufacturing order from customer order, under Automatic M-/P-orders from Customer Orders under the Sales tab in the Settings procedure.

A manufacturing order number in italic font indicates that several M-orders exist on the order row. This is shown only if you have activated the setting Show max quantity, under the Inventory tab in the Settings procedure, and a max quantity is entered for the part. Configuration

If the supplement Product Configurator is used and the imported order is configured (that is that the part on the order row is linked to a configuration group), you will see this button . You can use the button to preview and in some cases also edit a configured row. The following applies:

Alternate Preparation Code

If the imported order is configured you will see an alternate preparation code that originates is the selected configuration and how the alternate preparation code is defined in the Update Configuration Group procedure.

GS1 Part Number

Here you will see the GS1 code for products/parts if the customer sends a GS1 code in the import file instead of a part number. The GS1 code will then be saved on the order row. You enter the GS1 code under the Sales tab in the Update Part procedure.
